Cashback — Terms and Conditions

These Terms are a legally binding agreement between you (“Participant”) and wearefreemovers GmbH (“we”, “us”). By taking part in the Cashback Programme (“Programme”), you agree to these Terms.

1. Definitions

Cashback — the marketing rebate described in §4.

Cashback-Enabled Destination — a destination flagged as eligible for the Cashback Programme on the Platform.

Eligible Booking — a mobility semester or other short‑term academic experience booked through wearefreemovers for which we have received, in cleared funds, our full commission from the host institution.

Confirmation Deposit — the initial payment you make to secure your booking.

Host Arrival Confirmation — written verification from the host institution that you have completed its official in‑person registration (or online check‑in, where offered) and remained enrolled beyond the host’s add/drop deadline.

Participant Portal — the secure area of the Platform where you manage your booking and payment details.

Platform — the website www.wearefreemovers.com.

2. Programme Overview

The Cashback is a promotional rebate that rewards you for completing an Eligible Booking. The Cashback may be combined with other active promotions (e.g., Referral or Go Together) provided the destination is flagged as eligible for each promotion on the Platform.

3. Eligibility Criteria

You qualify for the Cashback only if all of the following conditions are met:

  1. You have paid the Confirmation Deposit for your booking on or before the deadline stated in your offer;

  2. The host institution has issued an official admission letter;

  3. You have paid any tuition or programme fee due to the host in line with its deadlines;

  4. You have completed Host Arrival Confirmation; and

  5. We have received our commission for your booking in cleared funds.

If any condition above is not fulfilled, you forfeit the Cashback.

4. Cashback Amount

The exact euro (€) amount is displayed on the Cashback-Enabled Destination page of the Platform and in your personalised offer. The amount is locked in once you have satisfied all eligibility conditions in § 3. Amounts vary by partner because commissions differ. Each Cashback has a nominal value in euros; no higher amount will be paid.

5. Payment Timing and Method

Cashback becomes payable only after all eligibility criteria in §3 are satisfied. We will pay the Cashback within thirty (30) calendar days after we have received (i) Host Arrival Confirmation and (ii) our commission in cleared funds, using the same payment method you selected for your Confirmation Deposit (or another mutually agreed method). If we do not receive the commission in whole or in part, the Cashback will be reduced proportionally or cancelled.

6. Currency and Fees

Cashback is paid in euros (€). If your receiving account is in another currency, any foreign‑exchange charges or rate differences are your responsibility. We do not deduct any service fee from the Cashback.

7. Taxes

We treat Cashback as a promotional rebate. We issue no tax certificates. You are responsible for any tax reporting or payments required under your local laws.

8. Situations That Void the Cashback

You forfeit the Cashback if you: 

  1. Fail to meet any condition in §3;

  2. Are expelled, suspended or deregistered before the host’s add/drop deadline;

  3. Breach our Terms of Use, submit fraudulent documents, or otherwise trigger Code D or E in our Deposit Refund Policy – Terms and Conditions.

9. Questions or Disputes

If you believe a Cashback is missing or incorrect, contact [email protected] within ninety (90) days after the expiry of the 30-day payment window described in §5. Please attach evidence supporting your claim (e.g., arrival certificate, proof of tuition payment, admission letter). We may request additional documentation.

10. Programme Modification and Termination

We may amend, suspend or terminate the Programme at any time. Material changes will take effect 14 days after we post them, unless a shorter period is required to comply with law or prevent abuse. Cashbacks that became payable prior to the effective date of the change will still be honoured in accordance with §5.

11. Limitation of Liability

To the maximum extent permitted by law, our aggregate liability under this Programme shall not exceed the total Cashback payable to you. We shall not be liable for indirect or consequential losses.

12. Governing Law and Jurisdiction

These Terms are governed by substantive Swiss law, to the exclusion of its conflict‑of‑law rules. Any dispute shall be submitted to the exclusive jurisdiction of the ordinary courts at our registered seat (Baar, Canton Zug, Switzerland), unless mandatory consumer‑jurisdiction provisions grant you the right to sue or be sued elsewhere.
